Billing software for a small business: buy an app, or build around it?
By Gnaneswar Kalinga, founder, MarketRun · Updated
The short answer
Buy first. Ready-made billing apps handle GST invoices, stock and daily sales for most shops, for a yearly or monthly fee. Build, or add to your app, only when it forces double entry, cannot follow how your business actually bills, or cannot send payment reminders on WhatsApp. Often the best upgrade is to keep your billing app and add WhatsApp reminders: Meta charges ₹0.115 per utility message in India (rate card effective 1 October 2026). At MarketRun that automation starts from ₹50,000 setup plus from ₹30,000 a month.
What shop owners are asking
- A single footwear store wanting fast, reliable billing and stock.
- A small hardware shop looking for simple stock management.
- An owner billing with a calculator and a notebook who wants simple offline software, no cloud.
- A workshop running three businesses under one roof, unsure which software fits.
The same thing runs through all of these: the owner wants less typing and fewer mistakes, not more features.
When a ready-made billing app is enough
- You need GST invoices, a stock count and a daily sales total.
- You sell from one counter or one shop.
- You can live with the app's invoice format and reports.
Offline or online?
Offline software keeps working when the internet drops and keeps data on your computer. Online (cloud) software lets you check sales from your phone and keeps a copy if the computer breaks. If you choose offline, take regular backups to a second place.
When to build, or add to your app
- You enter the same sale twice, once in billing and once in a sheet or WhatsApp.
- You bill in a way the app cannot follow: part payments, running accounts, several businesses on one counter.
- Several shops or a godown need to share stock.
- Customers owe money and nobody reminds them on time.
WhatsApp payment reminders: what they cost
A due-date or payment reminder on WhatsApp is a template message that Meta approves. If it carries no offer, it is usually counted as a utility message, which costs ₹0.115 in India under Meta's rate card effective 1 October 2026. Meta decides the category when it approves the template.
| Reminders a month | Meta charge (utility, ₹0.115 each) |
|---|---|
| 100 | ₹11.50 |
| 300 | ₹34.50 |
| 1,000 | ₹115 |
The messages are cheap. The work is connecting them to your billing data so the right customer gets the right amount on the right day. With us that is an automation project: from ₹50,000 setup, then from ₹30,000 a month to run it.
Test before you pay
One reply on r/IndiaBusiness gave the best advice we have seen: make any vendor run the import on your actual stock file before you pay, not on their demo data. That applies to ready-made apps and to us.
What it costs at MarketRun
| What you need | How it starts | Starting price |

Questions people ask
What is the best billing software for a retail shop in India?
We do not rank apps. Pick the one that prints GST invoices in a format you like, works offline if your internet is unreliable, imports your current stock list on the free trial, and has support in your language.
Can billing software send WhatsApp reminders?
Some apps can. If yours cannot, the reminders can be connected to it, as long as its data can be read by export or API, and sent on the official WhatsApp API.
Do I need custom billing software?
Probably not. Most shops do well with a ready-made app. Custom makes sense when you bill in a way no app follows, or run several shops or businesses that must share stock and accounts.
Dukan ke liye billing software kaise banaye?
Zyaadatar dukanon ke liye ready-made billing app kaafi hota hai.
Agar aapka billing app khud reminder nahin bhejta, to use WhatsApp ke official API se joda ja sakta hai. Har reminder par Meta ₹0.115 leta hai (utility message, 1 October 2026 ki rate). MarketRun mein yeh setup ₹50,000 se shuru hota hai, phir har mahine ₹30,000 se.
